Reservations Policies for BCCHR Imaging Facility
- First-time users seeking training must complete the full training process. Only trained users who have submitted their onboarding form and training record for an equipment may use the equipment independently.
-
The BCCHR Imaging Core maintains policies to discourage overbooking and maintain equitable access to equipment for all users.
- Please book the time you anticipate needing. Charges are based on the greater of booked time or actual usage time.
- Bookings cancelled within 24 h of the scheduled start time (“late cancellations”), or bookings for which no CAR sign-in is detected during the reserved time window (“no shows”), will be billed 50% of the booked time. This policy does not apply to “Self Serve” of HCS Image Acquisition or “Self Serve Wide Field Live” Imaging of SP5 as live cells experiments may be unpredictable.
- Users with repeated late cancellations or no shows may receive a warning. Continued occurrences may be reported to the PI.
- Users are responsible for ensuring their bookings and CAR sign-in/sign-out records are accurate. If a login is detected without a corresponding logout for more than 6 hours and no associated booking exists, a 6-hour charge will automatically be applied because the actual duration of equipment use cannot be verified.
- Due to high demand, the maximum reservation for image acquisition is 6 hours for BX61 and SP5 II. Analysis on BX61 is only limited to 1h/user/day – analysis beyond 1 hour will be billed at self-serve rates. Live-cell imaging on Leica SP5 II does not have any limit for image acquisition.
- Users are responsible for leaving instruments clean and safe after use. Repeated non-compliance may result in warnings, escalation to PIs and may incur charges.
